The Venue Find Supervisor is responsible for successful management and delivery of multiple and simultaneous venue sourcing projects on time and on budget for a contracted and Ah-Hoc clients. The role includes maintaining effective day to day contact with the client and the various stakeholders, as well as communicating and managing a designated team of senior sourcing specialists and sourcing specialists that also work on a wide variety of events from this contracted client accounts. This role is a full-time role, and the Venue Find Supervisor will report into the Venue Find Team Leader.
Specifically, the Team Supervisor will:
Lead the assigned client Venue Sourcing operations team to ensure the highest client service standards are provided and maintained at all times;
Manage assigned team to ensure deliverables and SLA’s are on time, on budget and on brand;
Develop strong relationships with clients and stakeholders to encourage account growth.
Work alongside the Account Managers, Team Leader/Operations Manager/Director in maintaining a clear communications plan between the operations team and the client.
The Team Supervisor is also expected to manage their own projects and events.
Be an ambassador for the Meetings & Events brand able to enhance and uphold our brand reputation in the industry.
On-board new team members, a supervisor and mentor to any new recruits joining that team and to provide thorough training to the new starters.
Oversee the day-to-day assignment of new meeting requests within the team based on existing workload / capacity / Leave.
Manage the teams Annual Leave to ensure sufficient coverage remains within the team across all accounts
Oversee the weekly / monthly workload, QC, Invoice, Time tracking reports and address any concerns / corrections in a timely manner.
Carry out regular one to one meetings with their team, highlighting any potential issues to the Venue Find Team Leader
Join the Team Leader / Manager / Director in carrying out annual reviews and appraisals and manage any issues in performance or service quality with support from the Team Leader and Operations Manager and HR if required;
Build and maintain strong relationships with all key clients and work with the Account Managers to assist in developing this further, demonstrate a thorough knowledge of these clients including all service level agreements, contract knowledge (if applicable) and client income streams, updating the client bibles where necessary;
To escalate to the Operations Manager or Programme Manager any concerns regarding staffing levels, or allocation of work issues, to provide initial possible solutions.
Compliance to preferred partner programmes, maximising revenue by reducing non-commissionable rates, to ensure cross selling and value add opportunities are explored where possible.
Ability and willingness to adapt and flex to working environment and client business requirements. This includes systems, tools, processes and be willing to promote change within the team.
To proactively and accurately account for time attributed to various areas of the business through Click Time & Meeting Box or other time management tool provided for business use: (Project based and non-project-based work).
Build and maintain strong relationships with all internal colleagues at Meetings & Events and the broader business and be a mentor to account teams and the wider business to promote and deliver the M&E value proposition.
Significant experience of working in a similar M&E role within a comparable agency or client location.
Demonstrable understanding of the M&E industry specifically in relation to venue sourcing and creative ideas.
Proven track record in managing client expectations, experience of working on a wide variety of projects in order to execute and surpass client expectations and delivering on time and within budget.
Strategic and commercial acumen.
Adept at managing various client and internal relationships.

To hold monthly 121 meetings with your assigned team to access progress of the objectives set and feed this back to the Operations Manager

Good working knowledge & understanding of Cvent
Word / Excel / PowerPoint and general IT skills essential

At least 3 years significant experience within the M&E, venue find or equivalent industry
