
In this role, you will provide support across the business with administrative and data driven processes and projects. Given the broad scope of the role, you will be required to work flexibly and dynamically across a varying set of tasks and objectives. You will be enthusiastic and detail oriented with a passion for providing administrative support. This role will provide the opportunity to work with team members across all areas of the business, including in particular operations & business management, finance administration and sustainability.

Key Accountabilities
Client Experience
Administrative support for the business in terms of raising PO’s and expenses as needed
Supporting Operations & Business Manager with issuing NDAs and New Supplier forms & Sustainability questionnaire to new freelancers & suppliers and ensure all regular freelance NDAs are
Overhaul and ongoing management of preferred supplier guide – arrange supplier meetings,
Making and managing hotel bookings for the Client Experience team delivering client projects
Supporting the Operations & Business Manager with maintaining templates and useful resources
Occasional on-site support delivering client projects
Resourcing Support
Tracking freelance availability, day rates, capacity and holidays and communicate to teams as
Weekly communication with the company on projects taking place that week Business support
Be the POC to answer all incoming calls to the main line and re-direct enquiries to the appropriate
Manage business accounts (Uber, Premier Inn, cabs, couriers etc.) and ensure all transactions are
Manage company and Team& email account, delete junk and be aware of new suppliers, client
Support the Operations & Business Manager with organising staff welfare events and activities

Sustainability
Supporting the Sustainability Manager with data capture across client projects and entering into
Producing post event sustainability reports to share with our clients
Finance Administration
Monitoring the finance group email inbox for supplier invoices and matching them off against PO’s
Adding client invoices into Xero
Raising manual sales invoices while key members of the finance team are on holiday
Skills and experience necessary for the role
Must have experience of working at a similar level in another organisation
Attention to detail and administrative experience is required
Financial and commercial acumen
Knowledge of Xero accounting package is desired (but not essential)
Knowledge of Procim budgeting system is desired (but not essential)
Knowledge of MS 365 suite of tools and applications is required
Worked in an administrative role and know what is required to deliver success
