A multi-faceted events and communications agency, founded 10 years ago, and now serving a number of clients globally in healthcare, pharmaceuticals and consumer goods, with 50 talent events and marketing professionals. The business provides a full range of communications solutions from creative assets and branded programs to exhibitions, leadership meetings and both analog and digital communication platforms. Last year over 1,000 people worked on projects with us, covering strategy, creative concept writing, campaign development and execution in print, web, video, art and graphics. The company is going through a significant expansion phase with a corporate rebrand and several new team members joining in the coming months. The company is privately owned by the founder who is the full time agency head. We have a young, energetic team based around the world.


Projects vary and include product launches, leadership summits, award ceremonies, and internal comms events. Our successful Senior Event Producer, or Executive Producer will need to have around 10 years’ experience in producing events.

The Design Studio Operations Coordinator is a critical partner connecting our producers to the design resources across the organization. As an individual contributor this role manages our design traffic system, and actively engages with project leaders and the design studios to pre-emptively address potential challenges and work to productive solutions ensuring projects are delivered on time and within budget, while ensuring the output is of the highest quality. You will ideally be experienced in working within a fast-paced design environment, and a great communicator all around. You will also need to possess the ability to quickly assess and make decisions to deliver the best outcome. This role requires someone with significant ability to influence and drive progress beyond their span of control, getting the best out of cross-functional teams as they partner.



Key responsibilities:


  • Identify, resolve, and escalate any issues which may impact the delivery of any job or design task in respect of timelines

  • Build deep working relationships with leaders across the design studio and producer teams to ensure design activities are optimised

  • Respond to any urgent requests and draft in freelancers where required from our bank of approved contractors.

  • Support in data collation to provide accurate on time reporting for studio and producer leaders with recommendations on ways to address

  • Ensure all designers have the required information and briefing content they need to deliver their work and follow internal processes

  • Manage relationships with outside contractors, plan their use and communicate changes in our requirements in a timely manner

  • Be a positive, supporting and calming influence in the team and maintain a profession and constructive attitude



Skills and Experience:

  • Minimum 3 years experience in a traffic, resourcing, or project management role preferably within an agency setting

  • A good understanding of the Creative process from concept to Production

  • Skilled across Microsoft office, particularly within Microsoft Excel and Outlook

  • Exceptionally organised with the ability to manage deadlines effectively

  • Friendly with the ability to build lasting relationships

  • Experience in client management preferable

  • Experience with relational database tools (Airtable or similar) preferable

  • Fluent English language (written and spoken)

  • Good verbal and written communication skills, with the ability to thrive in a highly creative client-oriented environment

  • Ability to liaise with staff at all levels including senior staff
