We are looking for a switched-on, proactive Project Manager to help us with producing our events from the beginning to the very end. You will need to have a can-do attitude with no task being too big or small.
Responsibilities
As a Project Manager, you will be a key part of the events team. Junior members of the team will rely on you for support and guidance. Senior members of the team will rely on you to support them across different projects
Responsible for the successful delivery of client projects from briefing stage, planning and implementation. This will involve close management of all aspects of the project across the entire project delivery team
Follow internal critical paths, client deadlines and supplier deadlines. Manage projects of all sizes to tightly managed deadlines. Managing deadlines across the entire team
Create and develop strong relationships, suppliers, internal staff members and other stakeholders such as event sponsors. Monitor suppliers, evaluate and seek out new suppliers
Input into project meetings and communications with both internal and external stakeholders throughout the project cycle
Implement and follow internal processes, managing projects and overseeing the activities of the rest of the team. Train and monitor the rest of the team to ensure they are being followed correctly
Budget management for projects of all different sizes. Managing internal budget processes quotes, creating PO's, payment schedules, processing invoices accurately and post event reconciliation. Negotiation with suppliers - price, services, scope, timings etc
Support the team in the preparation of RFPs/proposals and guide junior members during that process
Manage the travel and accommodation arrangements of the internal team, clients and suppliers
Help deliver high quality events onsite. This will involve being onsite pre-event, during the event and post event
Venue sourcing, contracting and negotiation is a skill that you should be very comfortable with as a Project Manager. Your skills in this area will need to be passed on to the more junior members of the team
Attend venue site visits and create site visit reports for internal and client review
Create onsite docs, manage host schedules, supplier and staff contact lists, crew lists, running orders, run of show and team briefings
Create a branding scope & deliverables briefing document specific to different venues
Shipping of event related materials around the world as needed
Create and print supporting onsite docs: radio lists, crew lists, contact lists, event A-Z, rooming lists, team know before you go
New Business Development Although the role of Project Manager is not a sales role there is an expectation that New Business Development will be something that you are comfortable with. This could be from industry networking or from contacts within your existing network of contacts
Providing Social media content when attending networking events, FAMs, exhibitions etc
Networking with the industry by attending relevant event
Required experience, skills & attitude
3 years experience in a similar event agency client facing role
Close out - Post event evaluation, debrief
Ability to manage clients and delegates pre-event / onsite and post-event
Proven track record of client and employer confidentiality
You will have experience in working on and sometimes leading RFP's
Work in multi-functional/cross disciplined teams
Represent good knowledge of company, the events industry, and client’s industries
Supplier trips / fam trips and feedback on these to rest of team
Mentor to junior members of the team, nurture them, teaching junior members of the time and help them developing their skills
Desirable software knowledge: Procim/Google docs
