Purpose
As an experienced Senior Project Manager, you will help with producing client events from the beginning to the very end. You will need to have a can-do-will-achieve attitude with no task being too big or small.
Responsibilities
Project manage high-quality, complex, and production-heavy events from design and planning through to onsite delivery
Have an input in project meetings and communications with both internal and external stakeholders throughout the project cycle
Follow and implement internal processes and importantly ensure they are being followed by other junior members of the team. Propose new ideas to improve the event planning and implementation process
Fully understand internal process and be able to train, oversee and monitor the rest of the team to ensure they are being followed correctly
Follow internal critical paths, client deadlines and supplier deadlines. You will be expected to manage projects of all sizes to tightly managed deadlines. Managing deadlines across the entire team will also be an important part of your day-to-day activities
You will be expected to identify potential opportunities with existing clients and ensure they are maximized plus brought to the attention of the Event Director and or the Senior Management Team. This requires a commercially minded approach to client management
New Business Development will be something that you are comfortable with. This could be from industry networking or from contacts within your existing network of contacts
You will be responsible for the successful delivery of client projects from briefing stage, planning and implementation. This will involve close management of all aspects of the project across the entire project delivery team
There will be the requirement to manage the travel and accommodation arrangements of the internal team, clients, and suppliers
You will work with the rest of the team to help deliver high quality events onsite. This will involve being onsite pre-event, during the event and post event
Budget management for projects of all different sizes is an important part of this role. Your day-to-day activities will include managing internal budget processes quotes, creating PO's, payment schedules, processing invoices accurately and post event reconciliation
You will be comfortable in negotiation with suppliers. Negotiation can be on price, services, scope, timings etc
Venue sourcing, contracting and negotiation is a skill that you should be very comfortable with as a Senior Project Manager. Your skills in this area will need to be passed on to the more junior members of the team
You will need to attend venue site visits and create site visit reports for internal and client review. create onsite docs, manage host schedules, supplier and staff contact lists, crew lists, running orders, run of show and team briefings
You will need to be comfortable with creating a branding scope & deliverables briefing document specific to different venues
As a Senior Project Manager, you will be a key part of the events team. Junior members of the team will rely on you for support and guidance. Senior members of the team will rely on you to support them across different projects. You will understand the team capacities and when there are issues with the ability to deliver projects
As well as your ability to create strong relationships with clients you will need to develop strong relationships, suppliers, internal staff members and other stakeholders such as event sponsors
A commercial mindset is important in this role. You will need to demonstrate a track record of maximizing profitability of events
You will work closely with Event Directors and the Operations Director on resource planning for projects to ensure the right teams are in place for different projects
You will have experience in working on and sometimes leading RFP's. You will need to support the rest of the team in the preparation of RFPs/proposals and guide junior members during that process
Providing Social media content when attending networking events, FAMs, exhibitions etc - Networking with the industry by attending relevant events
Shipping of event related materials around the world as needed
Required experience, skills & attitude
3 years experience in a similar event agency client facing role
Close out - post event evaluation, debrief
Ability to manage clients and delegates pre-event / onsite and post-event
Proven track record of client and employer confidentiality
You will have experience in working on and sometimes leading RFP's
Great, confident communication skills, on phone, in person
