We are looking for a lively, fun Solutions Lead or Technology Lead for a super cool, creative and caring client of ours. A full-service engagement agency delivering magic for audiences in virtual, hybrid and live events, strategy, content, production and technology. They are a communication, engagement and logistical agency for some of the world’s leading organizations.
To oversee the successful scoping and delivery of new technology projects, both internal and external. Working closely with our technology partners, including development teams to innovate and evolve the digital offering. Supporting the Associate Director, Technology in creative and solution based thinking in response to client requirement, and internal demand as necessary. Taking responsibility for the internal infrastructure and technology with the support of the Solutions Coordinator and 3rd party IT service providers both in the UK & US locations. Key responsibilities and accountabilities: Internal Technology
Acting as a mentor and escalation point for the day-to-day activities of the Solutions Coordinator overseeing the ongoing maintenance and support of internal infrastructure ensuring minimal downtime and disruption to business operations
Working with Associate Director, Technology to identify, prioritise and deliver technology improvements and updates:
New hardware requests
New software rollout and support
New starter and leaver processes
Specific technology projects:
Resource Management Tool
Others as identified in collaboration with internal teams
Negotiating pricing and contracts with technology suppliers.
Senior level contact for communications with 3rd Party IT service provider
Client Technology / Product
Attendance at initial scoping meetings for new client opportunities to recommend and guide the technology strategy for the client/project
Input to client proposals and RFPs as required
Ownership of ongoing development roadmap and relationship with bespoke technology providers
Relationship management with licensed technology suppliers, including feature requests and enhancements as required to support with effective project delivery
Working with operational teams to establish project specific technology requirements and proposing the best technology solutions based on scope and budget.
Identifying technology downtimes and failures, implementing contingency procedures and ensure all internal parties are communicated with.
Exceptional knowledge of the event technology market, staying ahead of the rapidly steepening curve and working with the Technology Operations Lead team to deploy technologies.
Advanced knowledge of the preferred technology suite and implementation procedures
Trouble shooting with internal team
Support the Client team in the implementation of all Client Relationship Strategies
Support the Client team in the preparation of RFP & Proposals as required
Attend Client pitch / presentation as required • Attend Client meetings, calls and reviews on a regular basis or as required
Communicate changes to Client structure as and when relevant
Project / Operational Delivery Management
Planning and development of all project / event activities in partnership with Client Services Leads & Associate and Board Directors as appropriate
Ensure all Client specific SLA’s and process requirements are included in the management of the project where required
Work with the Leadership Team to enhance and revise operations policies and procedures and update and revise internal procedures to ensure the ongoing successful delivery of all projects / events.
Ensure best practices are shared across all Client Teams and Operation Leads.
Manage and implement Client and project objectives, ensuring initial team briefings take place and ongoing project meetings are implemented as and when required to ensure profitable and successful delivery of all events within agreed timeframes
Review the team briefing and debrief meetings and ensure implementation of ‘learning/best practice’ for delivery across all operational teams
Liaising with the Governance Manager to ensure that all Technology processes are updated, and the Team are trained accordingly on all processes.
Ensure all Technology Team are onboarded with client specific onboarding requirements working with the Governance Manager
Ensure compliance with GDPR (General Data Protection Regulations) 2018 Regulations
Budget Reconciliation & Finance Management
Manage financial relationships with external technology providers and update finance team as necessary in collaboration with Associate Director, Technology
Manage and submit personal expenses and credit card reconciliations within timeframes specified
Manage and approve team expenses and credit card reconciliations within timeframes specified
Working with the Associate Director, Technology and Senior Group Talent Lead, monitor development plans for all team members taking into account:

Develop, mentor and coach all direct reports ensuring periodic meetings to discuss progress and review development plans

Prepare monthly Client project analysis to ensure team & recruitment costs are assessed against client budget
Participate in the interviewing and selection of new team members once approved by Board Director
Input and management of team holiday and lieu day requests
Input of personal timesheet activity on a weekly basi
