Role Description

They engage internal and external audiences through the creation and delivery of live & virtual experiences, film, branded content, immersive and interactive content.
They work with an international blue-chip client base across business categories with a particular strength in healthcare.
Live Meetings, Events and Congresses
Lead and manage the event logistics from pre-work, on-site to post event reconciliation, including managing and working collaboratively with suppliers (hotel, congress secretariat, DMC, external venue, travel agency).
Leading and managing project teams of various sizes and a mix of internal and freelance support.
Negotiate and build relationships with external venues and suppliers in order to achieve the required objectives for all events/meetings.
Perform and prepare recommendations for complex venue searches.
Actively build and sustain positive client relationships, providing continuous support, whilst helping facilitate the first-class delivery of work by the project team.
Oversee and monitor the delegate management process, taking responsibility for these tasks, as well as a willingness to delegate manage smaller meetings.
Ability to juggle several projects at any one time and work to tight deadlines.
Negotiate and contract meeting space and restaurant space
Closely monitor Finance in relation to all projects ensuring that invoicing and financial management of detailed logistics budgets is effective and profitable in keeping with WRG guidelines
Flexibility to regularly work internationally as well as at other agency locations
Manage and oversee the production/reviewing/monitoring of all event related documentation, ensuring that appropriate records are maintained.
Ensure Logistics quality, Health & Safety and sustainability procedures are followed on each event
Providing high quality on-site logistics management, working closely with your project team to lead on first-class delivery.
Actively follow all approval procedures in compliance with agreed agency guidelines
Assist in the development of colleagues’ skills and knowledge by offering advice / training i.e. registration systems / databases etc., both formal and informal.
Virtual/Hybrid Meetings, Events and Congresses
Actively build and sustain positive client relationships, providing continuous support, whilst helping facilitate the first-class delivery of work by the project team.
Research, evaluate and accurately/comprehensively prepare all delegate communication material in support of the smooth transition and attendance of invited guests at relevant congresses or events/meetings.
Oversee the Delegate Manager’s virtual (and and live if applicable) logistics and administration of all registration requirements in support of the client’s activity.
Collaboratively work with other TCEG teams andv other suppliers/providers, both pre and during the conference/event, in support of a flawless delegate experience
Manage and oversee the production/reviewing/monitoring all event related documentation, ensuring that appropriate records are maintained.
Managing multiple projects at any one time
Ensuring logistics processes are followed on each event, and ensure appropriate records are maintained
Providing high quality virtual ‘on-site’ support, being adaptable to change, and working closely with your team to be a part of first-class delivery.
What do you need to have
Logistics Project management experience in the pharmaceutical sector – live and/or virtual
Experience in the use of registration systems and virtual meeting platforms
CVENT preferred
Zoom preferred
MS Teams
Proficiency in Microsoft Office
Venue searching and presenting experience
A highly motivated and a positive can do attitude
A keen eye for detail
Good people management skills
Excellent budgeting skills and commercial awareness
Proactive, organised and methodical
The ability to pivot from live ways of working to virtual
Ability to manage work in respect of tight deadlines & multi-tasking, handling several projects at any one time
