Role Description


Our client is a communications group that creates experiences that inspire lasting change. They partner with clients to provide employee engagement, learning & training solutions, scientific engagement and capability building, all underpinned by applied behavioural science. They engage internal and external audiences through the creation and delivery of live & virtual experiences, film, digital, and immersive content. They are looking for an outstanding Delegate Manager to wro with one or their key pharma clients. This role can be based out of their Manchester or London office.



The role of Delegate Manager:

As part of the Healthcare team you will work for one of their key pharmaceutical clients, organising and co-ordinating the logistics for delegates of registration, travel and accommodation for Live events as well as Virtual/Hybrid events, to ensure a flawless delegate experience.

The successful candidate will support the Project Manager and designated team in the effective and timely delivery of the delegate management, both in pre-production, on-site and post-production. There may also be the opportunity to deliver their own smaller meetings, or take ownership of congress add-on meetings.


This role, which includes national and international travel, ideally requires you to have previous experience in the pharmaceutical sector and with specific experience of clinical events such as Investigator Meetings and Advisory Boards, and/or Congresses.


Live Meetings, Events and Congresses

  • Participate in venue search, evaluate venues and proposals with the support of the  Project Manager and complete proposals and budgets for client submission

  • Research,  evaluate and accurately/comprehensively prepare all delegate communication      material in support of the smooth transition and attendance of invited guests at relevant congresses or events/meetings.

  • Efficiently and successfully organise and co-ordinate the logistics and administration of all registration, travel, congress registration and accommodation  requirements in support of the client’s activity

  • Managing the registration platform to collect relevant registration data

  • Collaboratively work with other teams, venues and other suppliers/providers, both pre and      during the conference/event, in support of a flawless delegate experience

  • Accurately producing/reviewing/monitoring all event related documentation, ensuring that appropriate records are maintained.

  • Managing multiple projects at any one time

  • Ensuring  logistics processes and sustainability procedures are followed on each event, and ensure appropriate records are maintained

  • Providing high quality on-site support, working closely with your team to be a part  of first-class delivery.

Virtual/Hybrid Meetings, Events and Congresses

  • Research,  evaluate and accurately/comprehensively prepare all delegate communication      material in support of the smooth transition and attendance of invited guests at relevant congresses or events/meetings.

  • Efficiently  and successfully organise and co-ordinate the virtual (and live if applicable) logistics and administration of all registration requirements  in support of the client’s activity

  • Collaboratively  work with other teams and other suppliers/providers, both pre and during  the conference/event, in support of a flawless delegate experience

  • Accurately producing/reviewing/monitoring all event related documentation, ensuring that appropriate records are maintained.

  • Managing multiple projects at any one time

  • Ensuring logistics processes are followed on each event, and ensure appropriate records are maintained

  • Providing high quality virtual ‘on-site’ support, being adaptable to change, and working closely with your team to be a part of first-class delivery.

Experience required for the role of Delegate Manager

  • Delegate management experience in the pharmaceutical sector – live and/or virtual ideally

  • Experience in the use of registration systems and virtual meeting platforms

  • CVENT  preferred

  • Zoom  preferred

  • MS  Teams

  • Proficiency  in Microsoft Office

  • A  highly motivated and a positive can do attitude

  • A keen   eye for detail

  • Proactive,  organised and methodical

  • The ability to pivot from live ways of working to virtual

  • Ability to manage work in respect of tight deadlines & multi-tasking, handling      several projects at any one time

  • Excellent  proof reading and attention to detail skills

  • Interpersonal  skills, with high professionalism

  • Good communication skills both written and verbal

  • Excellent literacy and numeracy skills

  • Willingness to work flexibly, travel overseas and work from other agency locations in the UK
