Role Description

Our client is looking for a lively, fun Production Executive! They are a full-service engagement agency delivering magic for audiences in virtual, hybrid and live events, strategy, content, production and technology. They are a communication, engagement and logistical agency for some of the world’s leading organisations, and as such this is a brilliant opportunity for someone looking for their next career step in the events arena!

The Role: 

The successful applicant will develop and maintain a sound understanding of the offering of the agency, its services and its project management processes, in order to be integral to the delivery of first-class results for their clients. They will do this by building and maintaining effective working relationships with all internal colleagues and clients.

  • Day-to-day coordination point for the project team

  • Day-to-day point of contact for our clients

  • ‘Own’ project plans to ensure that the agency is on track / ahead of schedule

  • Continually looking to learn more about our clients – both the people and their business so as to help identify opportunities to grow our portfolio with them

Project Management / Support

  • To provide end-to-end support to Department Leads/Producers on projects and events, including leading independently on smaller scale projects

  • To confidentially and proactively manage and liaise with clients and the internal project team, to ensure communications are responded to in a timely manner

  • Keep the project team up to date, ensuring the team is aware of project status, as well as their individual actions

  • To proactively chase internal project team and clients on actions, and manage/update critical paths

  • Brief and oversee the development of creative design elements, and present these back to clients for review and sign-off

  • Support the content creation process, including scripts, on-screen graphics, multimedia and video production

  • Further develop a good overall understanding of digital and live production techniques, in order to translate these into a clear and concise brief

  • Maintain awareness of latest Health and Safety guidelines and risk assessment processes, working closely with Producers/Department Leads and external health and safety consultants as required

  • Track budgets and manage both internal and client updates. To proactively flag any concerns over potential increases and ensure client is fully aware and has sign-off additional costs

  • Following training sessions, to be confident in using the internal finance software (Scoro)

  • Work closely with the Planner to ensure people resources (internal and external) are booked in a timely manner

  • Create agendas, manage project meetings and create meeting reports for internal and external circulation

  • To be confident in using the Microsoft Office package, specifically excel and word

  • To demonstrate a high-level of attention to detail across all work output Project Executive

  • Ensure all project files and assets are correctly structured and later archived for future reference

  • Collaborate effectively with all colleagues, to ensure quality and the highest possible standards of delivery are achieved Be yourself and enjoy yourself!

  • Never be concerned about asking questions

  • Always be confident to make suggestions

  • Proactively seek out new ideas, techniques and suppliers which will positively benefit the work and the day-to-day running of the agency.

  • Make suggestions about how the whole team can have fun – e.g. team bonding/building initiatives
