Role Description

Our client is a dynamic experiential and marketing company based in Northamptonshire who believe the experience is everything!  Due to a busy events calendar they have an exciting opportunity for a motivated and outgoing  Project Executive with a proven track record in office administration to provide support to the Account Management team and ensure smooth delivery across a broad range of event activations.

Responsibilities of the Project Executive Include

  • Be the ‘go to’ office-based person for all dealer events

  • Co-ordinate all local/dealer event bookings, including:

    • Booking forms

    • Exhibition manuals

    • Database administration

    • Load lists

    • Venue administration (power, stand reservations, entry tickets, etc)

    • Set-up of Honda data collection app

  • Organise staff travel arrangements

  • Book Brand Ambassadors for events where required

  • Liaison and negotiation with suppliers, service providers, freelance staff and venues

  • Produce an accurate, quality-checked ops manual for each local/dealer event

  • Maintain all necessary event processes and procedures for each event

  • Maintain all dealer event job files and paperwork

  • Code invoices and ensure costs are assigned to correct event budgets

  • Maintain the event budget tracker with event costs and complete job reconciliations

  • Produce a post-event statistical summary report for each event

  • Support Project Managers with ad hoc brand events including equipment bookings, rooming lists, supplier sourcing.

  • Carry out research for client proposals

  • Work with the internal operations team to ensure all requirements for dealer events are delivered on-site at events



Skills of the Project Executive

  • Be confident, outgoing and enthusiastic

  • Meticulous attention to detail and methodical approach to work

  • Ability to maintain standards of quality and accuracy even when juggling multiple ongoing projects simultaneously, often working to very tight deadlines

  • Experience of working in a high volume and fast paced environment

  • Strong Microsoft Office skills, particularly Word and Excel

  • Strong communication skills

  • Team player, with the ability to build relationships at all levels and contribute to an open, friendly and supportive work environment

  • Highly organised, excellent time-management skills and the ability to prioritise workload

  • Independent, self-motivated and able to complete tasks without close supervision

  • Proactive with a desire to seek out solutions and drive continuous improvement

  • Remain calm under pressure and be flexible and adaptable to changing priorities

  • Good negotiation skills
