The role of Project Assistant will assist the Producer and Production Manager with the Events & Exhibitions. To assist the events and exhibitions team in managing all delivery elements of events along with the exhibitions and events teams general project work.

This role will ensure all events are quoted and managed professionally, that all purchase orders and invoices are processed in a timely manner. Making sure that all parties involved in the management of events & exhibitions are informed and up to date with all technical elements of ongoing projects. Assisting the team with general production and management of events and exhibitions. 

  • Assist the Producer and executive Producer when necessary in the delivery of events

  • Manage internal and external resources and suppliers for the delivery of events & exhibitions. Ensuring the correct schedules and running orders are produced for a given event, that staffing levels & requirements are monitored and evaluated in conjunction with the Events Director

  • Provide assistance for temporary and permanent events & exhibitions that covers logistics management and Internal resourcing requirements

  • Manage dedicated event files, uploading all materials relative to events & exhibitions

  • Manage production meetings etc for event specific projects

  • Ensure reconciliation of projects and budgets in a timely manner

  • Work with the event & exhibition managers to develop proposals and budgets for events &  exhibitions

  • Support creative teams in the development of creative proposals for clients

  • Manage and develop external relationships with freelancers and suppliers

  • Negotiate delivery contracts with specific focus on price and cost reduction over time

Work Experience

  • Demonstrable evidence of the management of all elements for events

  • Demonstrable experience of Word, Excel, Powerpoint

  • Budgetary development and management knowledge

  • Experience of working in a fast paced, high pressure  environment

  • A demonstrable level of event experience combined with people management skills 

  • Knowledge of the events & exhibitions industry market place

  • Evidence of an ability to work across a variety of media with a strong understanding of communication techniques

  • Knowledge or proven interest in events, exhibitions and design

  • Evidence of successfully working with external suppliers

  • Experience of managing budgets,


  • Motivated, self-starter, able to work to clear outcome targets

  • Positive, proactive and quick to look for new ways to problem solve
