Senior Project Manager





Role Description

Our client is a live event agency based in Hertfordshire! They create exceptional events and experiences and exhibitions around the world, and are now looking for a Senior Project Manager to oversee the Congress delivery team, to manage project teams and support the account director on sales. This is a new role in the Pharma Events division and our client is looking for someone that has experience managing a team, but who is also happy to work on the practical elements of the events, in addition to the more senior strategic and budget responsibilities!

Conference Management:

  • End-to-end programme management, including venue, catering, accommodation, social functions, logistics, audio visual, exhibition and management of all 3rd party suppliers

  • Development and fulfilment of promotional and marketing campaigns

  • Overseeing the online registration of delegate bookings

  • Responsibility for driving sponsorship and exhibition sales and fundraising

  • Management of speakers and delivery of speaker requirements

  • Understanding the abstract submission process and overseeing the management throughout

  • Event technology oversight

Project Management

  • To manage client projects to agreed specifications

  • To proactively maintain control over projects to ensure that scope and finance creep are anticipated and managed in order to maintain profit margins.

  • To maintain best practice in project management at all times by adhering to the principles of ‘initiate, plan, execute, control and close’.

  • To ensure all supplier contracts are in the best client and Group interest and to proactively challenge and negotiate with contractors to produce savings.

  • To acquire and grow technical knowledge in order to enhance the ability to liaise with contractors.

  • To deliver and manage client projects onsite and undertake any other travel where necessary.

  • Compliance of legal, GDPR, H&S and contractual deliverables.

  • Use of software and responsible overall for projects to set up correctly.


Account Management

  • To maintain regular client contact and ensure the client is kept fully abreast of project progress at all times.  Includes preparation for/attendance at client meetings and teleconferences.

  • Direct liaison with the conference committee on all aspects of the project.

  • To ensure client projects are delivered on time and within budget.

  • To escalate any emerging client and project issues to Director of Event Operations.

  • To challenge the status quo; suggesting programme and format innovations that help increase the value of client projects

  • Support new business pitches and presentations


  • Budget preparation, ongoing management, reconciliation and closure.

  • Maximise profitability of each project

  • Full financial responsibility and accountability for allocated projects.

  • Financial reporting to the Director of Event Operations

Team Management

  • Coaching and mentoring team to ensure deliverables are met

  • Contribute to Operations meeting and cascade any relevant information into the Project teams

  • To conduct regular internal project meetings to ensure all stakeholders are fully aware of roles, responsibilities and deadlines within each project.

  • To oversee project support and on-site staff ensuring they are fully briefed, their work is checked and work is completed on time and to the standards expected by Group.

  • To continually update the Event Operations Director through progress reports on the status of each project.

  • To flag any resourcing concern to the Event Operations Director.

  • To undertake monthly 1-2-1 meetings and 6 monthly appraisals with team.
