To support Strategic Meetings Management and Venue Sourcing procurement client through utilization of the Cvent tool as described by client agreement. Complete understanding on functionality of Cvent in order to advise/educate clients.
Negotiate best possible rates and program concessions for the component of SMM Procurement, leveraging client supplier relationships, utilizing processes and procedures outlined in the client agreements.
Be knowledgeable of the client contract process, their legal addendums, ensuring client is appropriately informed of and represented in all terms and conditions contained within.
Build and maintain strong client knowledge by attending weekly conference calls to further define; redefine processes and procedure.
Proactively escalate potential client or supplier issues to manager/Account Director/IR for resolution.
Stay current with supplier agreements, relationships, and industry trends through attendance at weekly team meetings, supplier presentation, educational trips and industry trade shows.
Facilities & Services: Determines appropriate geographical location and venue.
Identify services required and coordinates security procedures.
Plans, orders, and oversee technology requirements.
Conducts a pre-meeting briefing and post-con with suppliers and facility providers.
Plans/creates agendas for site inspections.
Financial & Contract Management: Identifies ancillary revenue sources and/or cost savings opportunities.
Develops budget for meeting which may include vendor contract negotiations.
Ensures completion of payment and/or billing process.
Manages according to budget.
Responsible for group reporting requirements.
Ensures adherence to standard or client specific deposit terms, terms and conditions of client contract, and billing guidelines.
Logistics: Determines logistical requirements that support program objectives.
Secures and communicates transportation/travel arrangements.
Determines setup for function rooms including seating and AV.
Manages food and beverage needs.
Prepares and reviews housing reports.
Complies with M&E technology usage as required.
Increases Meeting and Events industry knowledge by attending internal training, external events supplier presentations and team meetings.
Perform other duties as assigned.
Experience & education:
An equivalent combination of education and experience may be considered.
College diploma or degree in related field.
Minimum of three years of current relative Sourcing and Meeting Planning experience required.
CMP designation and formal project management designation/training are assets.
Effective communication in English
Knowledge, skills, and abilities (KSAs)
Knowledge of web-based registration tools is preferred.
Strong verbal, written and presentation skills.
Proficiency in Microsoft office suite.
Proven negotiating skills and ability in project management.
Strong financial acumen.
Strong multi-tasker who works well under pressure.
