Purpose – Executive Assistant

A unique opportunity to work closely with our client’s Senior Leadership Team of a well-established and rapidly growing live communications and events agency as it prepares to embark on its next phase of development.

Working across all aspects of the business and with key clients, the role will gain insight into running a business, building relationships across the whole company – both internally and with clients.

In this position you will work closely with the Executive Team, to support us with our day to day running of the business, to problem solve, lead/support initiatives and projects and to develop sustainable plans to simplify and grow the business. Given the broad scope of the role, the successful candidate will be required to work flexibly and dynamically across a varying set of tasks and objectives.

Job Purpose Summary

The aim is to support the CEO and Executive Team (the key decision-makers) in such a way that they can carry out their daily work much more productively and thus also significantly more successfully.

Key Tasks

  • Carry out specific management/policy projects working closely with the Exec and wider team (eg re, internal comms, culture, HR, legal, compliance, finance, insurance). Will get to see a full cross section of business life

  • Support the Executive Team on the delivery of the business strategy

  • Shareholder management – preparation of monthly Board packs, supporting on short term activities identified by the Board

  • Arrange client (both existing and new) meetings

  • Managing Exec Team members timesheets based on time spent on pitches and proposals

  • Conduct research prior to the meeting, preparing client presentations and creating written records of the meeting

  • Reading, monitoring and responding to Executives’ emails, as required (particularly when they are on leave/onsite)

  • Preliminary drafting of correspondence on the Executives’ behalf

  • Delegating work in the Executives’ absence

  • Organising complex travel arrangements

  • Taking action points and writing minutes from meetings

  • Adapting credentials presentations and follow-up materials after new business calls

  • Working with our CRM system to ensure all client contact data is maintained

  • Source and book company social activities and venues

  • Exec Team company credit card reconcilations

Experience and skills for the role

  • Experience in working in a busy agency setting would be ideal

  • Strong multitasking

  • Ability to forge relationships with new people

  • Outstanding attention to detail

  • Advanced level in Outlook, Excel, Word, Powerpoint

  • Proven EA/Chief Of Staff background

  • Flexible, adaptable, proven multi-tasker

  • Excellent verbal and written communication skills

It is not necessary to have come from an Agency background, or to know about our industry.


  • Statutory employers pension contribution after successful completion of initial 3 months

  • End of year bonus if company targets are met, to the value of a minimum 6% of salary, paid in May to coincide with the start of the new financial year (subject to being employed for a full year in the business)
